1 Install ArtManager

Download ArtManager from the Apple App Store.

2 Initial Setup & Branding

Configure Business Information

• Upload your Company Logo (appears on invoices and reports).
• Enter your company name, address, phone number, and email.
• Define your first Location (Gallery, Studio, Warehouse, etc.).

Configure Preferences

• Set your sales tax percentage, invoice due days, and default shipper.
• Toggle Auto Description to enable AI-powered description generation when adding artwork photos.
• Configure Invoice Payment Reminders — schedule local notifications before, on, or after invoice due dates.
• Customize the Email Reminder Template with subject, body, and auto-filled tokens for overdue patrons.

Create Custom Art Descriptors Critical

Before entering any artwork, define your metadata structure. ArtManager allows up to 10 custom categories, each with standardized values.

• Examples: Size, Medium, Category, Collection, Style, Frame Type.
• Tap Suggested Descriptors to get recommended categories based on your Business Type — add them in one tap.
• Or define categories and allowed values manually.
• Planning metadata early prevents future record corrections.

3 Add Locations

1. Navigate to the Locations card.
2. Enter the location name and contact details.

4 Import Clients & Artwork

Import Clientele

• Enter patrons manually.
• Import via CSV batch upload.
• Import from Apple Contacts (create a group first on macOS).
• Ensure ZIP codes are included for map-based sales tracking.

Import Art Pieces

• Navigate to the Art menu option.
• Select Import or Register Originals.
• Enter artist, medium, price, tier, location, and attach one or more images.
• Use predefined custom descriptors for consistent tagging.
• Importing supports up to 60 art pieces per session.

Tips

• Drag & drop images into logo/location boxes or pick from Photos.
• Phone numbers auto-format as you type.
• Descriptors don't retro-update old records — plan early in Setup.
• Enable iCloud for sync and easy backups.

Troubleshooting

• No results in filters — clear filters, then add one condition at a time.
• Photos picker empty — grant Photos permission or drag & drop from Finder.
